Objective 1.11: Given a scenario, install and configure cloud-based productivity tools

The candidate must set up cloud email, storage, collaboration tools, identity sync, and licensing assignments.

What this objective tests

You should be able to set up cloud productivity suites (Microsoft 365, Google Workspace, Apple iCloud), configure email and storage with appropriate sync settings, deploy collaboration tools (spreadsheets, docs, videoconferencing, instant messaging, presentation tools), sync identities between on-prem and cloud directories, and assign licenses correctly.

This objective is heavily expanded in V15 vs V14 because cloud-based productivity is now the dominant deployment model for SMB and enterprise.

Key facts

Email systems:

  • Hosted email (Microsoft 365, Google Workspace) replaces most on-prem mail servers in modern offices.
  • User configures Outlook, Apple Mail, or another client with the hosted email account. Modern email uses Modern Auth (OAuth) rather than basic username/password.
  • DNS records (MX, SPF, DKIM, DMARC) point to the hosted provider for the organization's domain.

Microsoft 365 (Exchange Online):

  • Microsoft's hosted email + Office apps + storage suite.
  • Add user via the Microsoft 365 admin center. Assign a license (E1, E3, E5, Business Basic, Business Standard, Business Premium).
  • Email auto-configures via Autodiscover when the user signs in with their Microsoft 365 credentials in Outlook.

Google Workspace (Gmail):

  • Google's hosted email + Docs + Drive + Meet suite.
  • Add user in admin.google.com. Email auto-configures via IMAP/SMTP or the Gmail app.

Apple iCloud Mail (iCloud+):

  • Apple's consumer email service. Tied to Apple ID.
  • Custom domain hosting available with iCloud+ paid plans.

Storage (cloud):

  • OneDrive (Microsoft 365), Google Drive (Workspace), iCloud Drive (Apple), Dropbox, Box.
  • Files stored in the cloud, synced selectively to local devices.

Sync/folder settings:

  • Sync all files (full mirror) or selectively (only the folders the user picks).
  • Files On-Demand (OneDrive) and Drive File Stream (Google Drive) keep file metadata local but download content only when opened. Saves disk space.
  • Backup important folders (Desktop, Documents, Pictures) into OneDrive or Google Drive Backup automatically.

Collaboration tools (general):

  • Documents, spreadsheets, presentations, instant messaging, video, project management, all delivered via the cloud suite or browser.
  • Multiple users edit the same file in real time; changes sync immediately.

Spreadsheets (cloud):

  • Microsoft Excel for the web, Google Sheets. Real-time collaboration, formula support, integration with cloud storage.
  • Power users may still need desktop Excel for advanced features (large datasets, complex macros, Power Query).

Videoconferencing:

  • Microsoft Teams (Microsoft 365), Google Meet (Workspace), Zoom (independent), Apple FaceTime (Apple).
  • Built into the productivity suite or as standalone apps. Integrate with calendar for meeting scheduling.

Presentation tools:

  • PowerPoint for the web (M365), Google Slides (Workspace), Apple Keynote (iCloud).
  • Real-time collaboration, animation, embed media.

Word processing tools:

  • Word for the web (M365), Google Docs (Workspace), Apple Pages (iCloud).
  • Real-time collaboration, comments, version history, templates.

Instant messaging:

  • Microsoft Teams chat, Google Chat, Slack (independent). Persistent rooms, direct messages, file sharing, integrations.

Identity synchronization:

  • For organizations with both on-prem Active Directory and cloud identity (Microsoft 365 / Google Workspace), sync user accounts between them so users don't manage separate credentials.
  • Microsoft Entra Connect (formerly Azure AD Connect) syncs AD to Microsoft Entra ID (formerly Azure AD).
  • Google Cloud Directory Sync (GCDS) syncs AD or LDAP to Google Workspace.
  • Federated authentication (ADFS, third-party SSO) lets users sign in once to the on-prem identity and access cloud apps without re-entering credentials.

Licensing assignment:

  • Cloud productivity suites are licensed per user per month (or per year). Each license tier unlocks specific apps and features.
  • Microsoft 365: Business Basic (cloud apps only), Business Standard (cloud + desktop apps), Business Premium (adds Intune + advanced security), E1/E3/E5 (enterprise tiers).
  • Google Workspace: Business Starter, Standard, Plus, Enterprise.
  • Assign licenses via the admin portal. Reclaim licenses when users leave (delete or unassign).

Common gotchas

  • Email not auto-configuring. Autodiscover relies on DNS records (CNAME for Microsoft 365's autodiscover.outlook.com). If DNS isn't set up correctly, Outlook can't find the mailbox automatically.
  • OneDrive consuming all disk space. Full sync of a large OneDrive library fills up small SSDs. Use Files On-Demand or selective sync.
  • Sync conflicts. Two users edit the same file offline; sync produces conflict copies. Real-time co-authoring in the web/desktop apps avoids this.
  • License unassigned from active user. User can't access mail or files. Reassign the license in the admin portal.
  • Identity sync misconfigured. Cloud and on-prem accounts get out of sync; user has two identities, confusion ensues. Verify Microsoft Entra Connect / GCDS is running and syncing on schedule.
  • MFA missed for cloud accounts. Cloud productivity accounts have high blast radius. Enable MFA from day one (Conditional Access in Microsoft 365, 2-Step in Google).
  • Departing user license retained too long. Wastes money. Have an offboarding process that unassigns licenses promptly.
  • Mobile clients using basic auth. Microsoft has deprecated basic auth for Exchange Online; modern Outlook mobile and the native iOS Mail app on iOS 14+ support modern auth.

Real-world context

Onboarding flow for a new Microsoft 365 user:

  1. Admin creates the user in Microsoft 365 admin center (or syncs from AD via Entra Connect).
  2. Admin assigns the right license (Business Basic / Standard / Premium).
  3. Admin sets initial password and shares securely with the user.
  4. User signs in at office.com, completes MFA enrollment.
  5. User installs desktop Office apps if the license includes them, signs in with their M365 creds.
  6. User installs OneDrive client, signs in, configures folder backup if desired.
  7. User installs Teams desktop or mobile, signs in.
  8. Admin verifies the user appears in the Global Address List and can send/receive mail.

Offboarding flow:

  1. Convert user mailbox to shared (preserves access to colleagues without holding a license).
  2. Transfer OneDrive files to manager or shared location.
  3. Remove license from user account.
  4. Delete or disable the user account per retention policy.
  5. Sign out user from all sessions (force token invalidation).

License sizing for small offices:

  • 5-50 people, basic needs: Microsoft 365 Business Basic or Standard.
  • 5-50 people, security focused: Business Premium (includes Intune, Defender for Business).
  • Larger orgs: E3 or E5 with Microsoft Entra ID P1/P2 for advanced identity features.
